OHHA seeking administrator/office manager

Columbus, OH — The Ohio Harness Horsemen’s Association is currently seeking an administrator/office manager.

The administrator is a highly visible position that often serves as the first contact for our customers, and interacts daily with our employees to make sure the business flows efficiently. Wide range of job responsibilities requires a 40-hour work week. This person must be the backbone of the office operation to ensure that it functions properly.

The various job responsibilities include, but are not limited to:

  • Answer incoming calls, greet and direct vendors, job applicants etc., and properly connect to the appropriate person.
  • Maintain and organize files and copying as necessary.
  • Manage and maintain office, office equipment, office equipment updates, break room, and supply inventory.
  • Responsibility for incoming and outgoing mail and deliveries and mass mailings done several times for various functions.
  • OHHA Membership renewals and new applicants.
  • Prepare correspondence sent from office.
  • Attend quarterly board meetings and prepare minutes and meeting notes.
  • Help with coordination and scheduling of annual awards banquet and events.
  • Prepare banking deposits and reconcile banking statements.
  • Input of employee payroll.
  • Prepare all financial statements and schedules.
  • Prepare invoices for various services.
  • Clerical work for fair and stake races.
  • Cross train with other departments.
  • Some weekend work and overtime will be required.
  • Strong team player with ability to take on extra duties as needed.

Essential Requirements, Education and/or Experience:

  • Computer skills to include: able to use computer terminal, calculator, copier and fax machine. Navigate multiple computer programs with proficiency, Microsoft Office Suite, Outlook, Access, Approach, and Ouickbook.
  • High School diploma or GED required. A degree in a business administration, or related field is preferred.
  • Standardbred/horse racing industry knowledge or experience required.
  • Minimum one year of experience working in an office environment preferred.
  • Excellent organizational skills, including the ability to prioritize and manage multiple tasks in a dynamic, fast-paced environment.
  • Must have a good attention to detail.
  • Ability to work well under pressure with minimal supervision.
  • Excellent written and oral communication skills. Must be articulate and personable as well as be able to relate professionally and positively to incoming visitors and associates at all levels.
  • Ability to enter data quickly and accurately.
  • Must have the functional skills needed to perform the duties and responsibilities of the job.
